Why emails land in spam
Spam filters analyze dozens of signals: trigger words, sender reputation, link density, formatting, and authentication records. Even well-intentioned emails get flagged when they contain phrases commonly used by spammers. The key is writing emails that read like genuine one-to-one messages, not bulk marketing blasts.
The ideal cold email structure
Keep it between 75-150 words. Open with a personalized observation about the prospect or their company. State your value proposition in one sentence. Include a single, low-friction call to action - a question works best. Skip the links in your first touch. No images, no HTML formatting, just plain text that feels human.
Personalization that actually works
Merge tags like {{first_name}} are table stakes - everyone does that. Real personalization means referencing something specific: a recent LinkedIn post, a company announcement, a shared connection, or a challenge common to their role. The best cold emails make the reader think "this was written just for me."
